Artificial intelligence and scientific communication: key takeaways from the last meeting

On 21 January 2026, the Scientific Communication Team within NEOLAiA WP5 met to discuss the growing role of artificial intelligence in academic and administrative work across partner universities. 

A key topic was the widespread use of AI tools in daily activities, often without any formal training. Participants shared experiences from their institutions, highlighting different approaches to regulation and support. Some universities, such as Bielefeld, have developed clear guidelines and internal AI tools, alongside training initiatives like prompt engineering workshops. In Örebro, the use of AI in daily work is encouraged, while others are still reflecting on policies, particularly regarding publications, humanities disciplines, and student work. Common concerns included data protection, transparency, and the need to declare AI use in theses or group projects. For example, Suceava has implemented a policy requiring the declaration of AI use in such projects. 

The discussion also addressed the risks associated with generative AI, such as over-reliance on tools, factual errors, exaggerated language and plagiarism, given that language models continue to improve and it is increasingly difficult to understand whether AI has been used in a given work. The importance of critical review skills was emphasised, particularly for PhD candidates and researchers. 

The meeting also focused on future activities, including the implementation of informal “Lunch Talks” as a space to exchange best practices, share projects, or raise questions in a flexible format. Ideas for improving communication were explored, such as joint articles, podcasts, and short videos, along with opportunities for collaboration with WP10.
